Custom automation, built in Perth

Free your team from the manual data work behind your operations.

Paramount Software is a Perth team building custom AI and cloud automation for the repetitive processing your staff still do by hand: reading invoices and records, checking and fixing them, then routing them where they belong. The routine runs itself, and your people get their hours back.

A record enters the automation machine on the left, where turning gears read it, check and fix it, then route and action it. It leaves on the right as measured outcomes: costs down 30 to 50 per cent, hours returned to the team, and errors near zero. The problem

Your team is doing work a machine should be doing

Invoices keyed in by hand. Data copied from one system into another. Inboxes triaged message by message. Documents opened, read, renamed and filed. It is the quiet, repetitive back-office work that keeps a business running, and it is costing more than it looks.

The bill comes in three currencies: the hours it drains every week, the errors that compound when people rush, and the simple fact that it never scales. There is a better shape for this work.

See how we build it
  • Data entered by hand

Figures are re-keyed from PDFs, emails and forms one field at a time. It burns hours every week, and a single mistyped number can follow you all the way to the ledger.

  • Inboxes sorted one by one

Every message is read, categorised and routed by a person before the real work can begin. Attention that belongs with your customers goes to sorting instead.

  • Documents handled manually

Contracts, receipts and forms are opened, read, renamed and filed by hand, and the information trapped inside them rarely makes it into your systems.

  • Work that will not scale

When volume rises, the only lever you have is hiring. Costs climb in a straight line with the workload, and errors compound as people rush to keep up.

How it works

One clear method, from first call to running system

No black box. You can see the whole engagement before you commit to it. A method you can check is worth more than a promise you cannot, so rigour is the point.

  1. 01

    Discover

We map your process as it runs today: the steps, the systems, the volumes and the awkward edge cases. You leave with a one-page automation plan, whether or not you take it further.

    Free scoping session
  2. 02

    Design

We agree the target shape: what the machine reads, checks, routes and acts on, where a person stays in the loop, and exactly what "done" looks like.

    Days
  3. 03

    Build

We build it on your cloud, connect it to your systems, and test it against real cases before it touches any live work.

    2 - 6 weeks, scope depending
  4. 04

    Run

We deploy, monitor and tune it. You can see what it processes, and we hold the first milestone to spec before it is billed.

    Ongoing

Most first automations go from scoping to a working pilot in weeks, not months.

How we work with your data

Onshore by default, foreign only by exception

  • Projects, data and databases are hosted and processed in Australia.
  • Nothing is hosted overseas or handed to foreign parties.
  • The one exception is access to some foreign AI language models. Even then, your data is sent only at your request or with your prior approval, never by default.
  • Least-privilege access on Azure: people and systems get only the permissions the job needs.
  • Scoped retention: we keep your data only for as long as the work requires.
Inside the machine

The modules of the machine

Each service below is a module of the same working machine, not a product on its own. Work enters, moves through reading, validation and routing, and leaves as a measured result. Start with one module or wire the whole line together.

Connected gears turning to move a task through each stage

Orchestration layer

Intelligent Process Automation

The module that runs the whole sequence. It automates complex, multi-step workflows with AI that learns and adapts, so approvals and hand-offs move on their own instead of stalling in a queue.

What this module handles
  • End-to-end workflow automation
  • No-code/low-code integration options
  • Real-time monitoring & analytics
  • Seamless system connectivity

Intake

Document & Content Understanding

Where unstructured work enters the machine. It reads documents, images and other content at scale, understands the context, and turns what it finds into structured data your systems can use.

What this module handles
  • Invoice & receipt processing
  • Contract analysis & extraction
  • Multi-format document handling
  • Searchable knowledge bases

Write-back

Automated Data Entry

The module that writes clean data into your systems. It captures, validates and enters information across your tools without the manual re-keying, and with accuracy that holds up under volume.

What this module handles
  • 99%+ accuracy rates
  • Multi-source data capture
  • Validation & error correction
  • Direct system integration

Front door

AI Email Processing

The machine at your front door. It reads, categorises, extracts and routes incoming email, then responds or escalates by your rules, so the inbox becomes a feed into the system rather than a queue for a person.

What this module handles
  • Automatic classification & routing
  • Data extraction from attachments
  • Smart reply suggestions
  • Priority detection & escalation

Foundation

Cloud Infrastructure

The platform every other module runs on. We architect and optimise secure, scalable environments on AWS and Azure, so the machine stays fast, resilient and cost-aware as your workload grows.

What this module handles
  • AWS & Azure expertise
  • Infrastructure as Code (IaC)
  • Cost optimisation & monitoring
  • Security-first architecture

The output side

The measured outputs of the machine

The same work that enters as invoices, emails and records leaves as lower cost, fewer errors and hours handed back to your team. The figures below are what well-built automation typically delivers - illustrative, not guaranteed, and not measured client results. Put your own numbers in to see what it could mean for you.

30-50%
Typical outcome

Reduce Operational Costs

Capacity you get back is the output side of automation. Take repetitive tasks off people and well-built automation typically removes 30-50% of the cost of running a process, freeing that spend for higher-value work.

Cost reduction
99.9%
Typical outcome

Eliminate Human Error

Consistency is a machine's natural output. With AI-assisted validation catching mistakes before they land, accuracy on well-scoped, structured tasks typically holds around 99.9%.

Accuracy
10x
Typical outcome

Scale Without Hiring

Volume becomes a setting rather than a hiring round. A well-built machine typically absorbs order-of-magnitude jumps in workload, so throughput can grow around tenfold without your headcount growing with it.

Capacity gain
Weeks
Typical timeline

Faster Time-to-Value

The machine starts paying back quickly. With scope kept tight, a first working deployment typically lands in weeks rather than months, so value shows up early instead of at the end.

To first value

Illustrative figures based on the typical outcomes of well-implemented automation, not guaranteed results or measured client metrics.

Illustrative estimate

Estimate what you could reclaim

Add a rough cost per hour to see the reclaimed capacity as a dollar range too.

You could reclaim about

7-13 hours a week

That is roughly 330-580 hours a year handed back to your team.

Range assumes automation handles a conservative 40-70% of the task, over 46 working weeks a year.

Where confidence comes from

Confidence you can check for yourself

At this level, the confidence that counts is the kind you can verify for yourself. Here is what you can check, point by point.

A method you can see

Discover, Design, Build and Run, with a one-page automation plan you keep from the very first session. Rigour you can check beats a promise you cannot.

You will be working with Kris, not a call centre

When you get in touch with Paramount, you are talking to Kris Stoddart: the person who will scope your automation, design it, build it and stand behind it. There is no account manager sitting between you and the work.

Paramount Software is a hands-on Perth practice. Being based in Western Australia is not a footnote, it is part of the offer. Your project, your data and the person accountable for them all stay onshore, and you can pick up the phone and reach whoever built your system.

Senior, contactable and local. That is the whole idea.
